SMS Integration

Thanks to GPA Technology’s SMS Gateway, now iOfficeV4 users can receive various messages and reminders with a mobile phone.

SMS Messages
You can receive the following SMS messages from iOfficeV4 with a mobile phone.
  • Notifications for scheduled events
  • Reminders for individual events
  • Reminders for events in a specific term at desire time
  • Reminders as the designated time prior to due date of To-Do tasks
  • Messages left by users in Whereabouts application
  • Notifications for receipt of circulars and applications of Workflow
  • Low stock level alert in Inventory application

How it works

The SMS Gateway supports POP3 for message transmission, so it is integrated iOfficeV4’s various messaging functions.

  1. An iOfficeV4 messaging function sends an e-mail message to an e-mail address, which is assigned to the SMS Gateway.

  2. The SMS Gateway is polling the POP3 server for recipient of messages.

  3. When the SMS Gateway finds a message, retrieves and sends it as SMS message(s) via GSM network.
System Requirements

  • GPA Technology’s SMS Gateway software. You can download trial version at http://www.winsms.com

  • A mobile phone or PCMCIA Cellular Data Card

  • A Windows 95/98/NT/2000/XP or Linux PCA dedicated e-mail address per user

Installation and Setup

E-mail account

First of all, you must prepare an e-mail account and addresses, which are dedicated to send messages to mobile phones.

SMS Gateway parses out the destination addresses from standard e-mail formats, e.g. if an e-mail address that is placed to “To” of a message is 01720000000@sms.yourdomain.com, the “@sms.yourdomain.com” part of the addresses will be removed, and just the GSM numbers (telephone number) be used for message submission.

We recommend that you create an anonymous e-mail account, which enables all incoming messages to be transferred to the e-mail address of the account. For example, you ask your e-mail server administrator or ISP to create anonymous@sms.yourdomain.com account and set to transfer all incoming messages to the domain “sms.yourdomain.com” to the e-mail address, and then specify the account information such as user ID and password of the account in the POP3 settings of SMS Gateway.

A message sent to telephone number+sms.yourdomain.com will be transferred to the address anonymous@sms.yourdomain.com so that SMS gateway can receive the message and parse out the destination from “To” field of the message.

Setup GSM Gateway

After finishing the basic setup of SMS Gateway, select [Settings]-[POP3 Settings] from the menu and setup POP3 parameters appropriately. After completing of entering information, activate GSM Gateway and send a message to an e-mail address which will be transferred to the anonymous account for testing.

Setup iOfficeV4

Login as the administrator and choose [Setup]-[Mail Server Setting] and setup your e-mail server or account information provided ISP. Please note that you should set “Use” to Notification via e-mail if you wish to use notification functions of each application.

A user who wishes to receive the notifications and messages with a mobile phone should specify e-mail address(es) and choose at least one e-mail address to be used to send messages. To do this, click Options button at upper right of the top page and then specify e-mail addresses. Please note that an e-mail address you want to receive the messages should be “Public”

Now you are ready to receive messages with your mobile phone. Please refer Help for more information about notification and messaging function of each application.
